Center of Excellence
The business unit Process Industry of ABB in Finland has a Center of Excellence for Electrification, Instrumentation and Composite Plants. It includes an engineering team that executes EPC projects (Engineering, Procurement and Construction) for customers in the process industry. The team performs the initial Front End Engineering & Design activities of a project to determine its feasibility and to develop the initial project cost estimates.
During the FEED phase the team assists customers with specifying the elements of the system, importantly including safety etc, and provides input into the overall estimate to determine the initial budget covering all phases of the project. The team closely collaborates with other ABB units and factories that produce parts and equipment for plants and installations.
New document management solution
During a project the team easily creates around 4,000 documents. To support them in managing and collaborating on documents, ABB started to look for a document management solution already in 2005. Malin Mannevaara, IS Project Manager at ABB Finland: “At first we could not find a solution that was flexible enough for our needs. Our employees were used to store documents on network drives, but we were in need for more functionality and capabilities. Because we not only needed a solution for document management but also a platform for collaboration, we chose and implemented Microsoft SharePoint Server 2003. The solution however was unable to manage typical engineering documents like AutoCAD drawings and did not support batch operations on multiple documents. We hoped the migration to MOSS 2007 would solve this, but it did not. Therefore we went looking for an additional solution to extend SharePoint with engineering document management functionality.”
Batch operations on documents
ABB looked into multiple SharePoint-based solutions and started a pilot with Cadac Organice. Malin Mannevaara: “Cadac Organice not only allows us to manage AutoCAD drawings in SharePoint, it also offers us a lot more functionality and flexibility.
We are now able to execute batch operations on documents, including check out/in and multiple file upload. Cadac Organice Explorer also extends the possibility to easily sort, group and filter documents in SharePoint, which makes it much easier for our engineers to work with documents. Documents are saved and stored in a proper project structure and version management helps us to manage multiple versions of documents and always retrieve the latest.”
Malin Mannevaara continues: “We are currently in the process of migrating to Microsoft SharePoint Server 2010, which consumes a lot of time. When the migration is done we are going to implement Cadac Organice Transmit for transmittal management.
We already started a pilot and see a lot of opportunities and benefits of transmittal management for the business. We will first implement Cadac Organice Transmit for document exchange and approval with customers. As a next step we will also implement it in collaboration with sub-contractors and suppliers. With Cadac Organice Explorer we have improved the quality of document management. With Cadac Organice Transmit we will also save a lot of time in document exchange and collaboration.”
