Based on 25 years of experience implementing Document Management and Control (DMC), we have developed a project approach that helps to quickly and efficiently implement DMC with the right results. Our methodology ensures a reliable and efficient DMC implementation based on Cadac Organice and Microsoft SharePoint. The benefits of our methodology are:

Project approach based on PRINCE2
The Cadac Organice Project Approach is based on PRINCE2 (PRojects IN Controlled Environments). Using this methodology, Cadac Organice offers customers a best-practice approach for the implementation of DMC. Our methodology requires the following conditions for a successful implementation:
- The project is executed according to the Cadac Organice Project Approach
- Requirements are defined in a business case and a requirements document
- A project organization is setup with a steering and project committee
- A project manager is appointed
- Work packages are defined and executed in consecutive project phases
- Changes are only executed after approval by the steering committee
Project start
At the start of the project the requirements are being discussed, business processes are being analyzed and a solution direction is presented. If necessary, awareness sessions are organized to present the capabilities of Cadac Organice and Microsoft SharePoint.
Initiation phase with a pilot project or Proof of Concept (POC)
During the initiation phase the feasibility of the project is analyzed and the project organization is setup. Further a risk analysis is executed and if needed risk measures are taken.
Based upon interviews with key users, the current and future work processes are described and a pilot project or POC (Proof of Concept) is setup. The purpose of the pilot project is to explore the functionality of Cadac Organice and SharePoint and see how it benefits the work processes of the users. The starting point for the pilot is an industry specific SharePoint best practice template. During the pilot, requirements are further detailed and described in a requirements document. As a result of the pilot, the Out-Of-The-Box functionality of Cadac Organice and SharePoint is evaluated in a minimal number of iterations, and if needed additional functionality is defined.
Further, the business case is described in more detail, allowing Management to assess the economical feasibility of the project. In consultation with key users and management, the rollout and availability of the DMC is decided upon.
Implementation phase
In the implementation phase, one or more products and services are delivered with each work package. The result of each work package is tested, accepted and delivered. Periodically, additional risks are analyzed and measures are taken to control and mitigate them.
The project is executed by the project committee. Any changes are discussed in the steering committee and only executed after approval of the steering committee.
Project close and onsite support
When all work packages are accepted and delivered, the solution goes into production and the project is closed. Users are trained and supported onsite to successfully use the DMC within the organization. If necessary a new project can be started, for instance to implement addtional functionality or to further rollout the DMC into the organization. The new project will again go through all project phases.
